PTFA Meeting Minutes

 

Minutes of Whitstable Junior School PTFA 12.9.17

Present: Julie Harrison (Acting Chair), Sharon Thompson, Claire Cordell (Treasurer), Alex Scott, Janice Brooks, Sarah Amos (WJS Business Manager), Mrs Steward (Head Teacher), Nadia Rigden, Barbara Brett, Laura Nevill, Paula Matthews, Sheila Thompson * Introductions were made with a very warm welcome to new members Paula, Laura, Sheila and Barbara and welcome back to Nadia. New people are very much needed going as several members are Year 6 parents and will be leaving the school this year. * This meeting was to plan events bearing in mind our current resources. It was agreed that we will only commit to events that have named volunteers to organise them. Event organisers’ names are in brackets and they will ask for help on the day from other PTFA members and WJS parents/ carers.

The following events were agreed for the year ahead (which can be reviewed in January): * Sept 29th -Macmillan coffee morning. School staff to run this in the hall from drop off and ask for cake donations. Any leftover cakes to be sold by the PTFA at pick up time (Alex ,Claire and Janice). * Fri Oct 20 - Halloween disco (Sharon T and Claire) * Fri Dec 8 -Xmas Fair (including Xmas shop ) 3.15pm - 5.15pm (Julie, Sharon T and Alex)

*January – Xmas leftovers sale ( chocolates etc) TBC * Feb 8th- Valentine disco ( book DJ when booking him for Halloween) then Nadia to organise *March 8 & 9th- Mother's Day plant sale (Nadia) *Spring competition - (Mrs Steward and Sarah Amos ), PTFA will pay for prizes * 15th June - Father's Day event (Julie)

*July – leavers events TBC * Charity car parking x 2 dates- this provides a good income with no financial outlay, but volunteer time ( Sarah A) * Tombola Tuesdays needed for both Xmas and Summer Fair . Bottles and chocolate for Xmas Fair. Summer Fair tombolas TBC. (Sarah A to organise dates, PTFA helpers needed on the gate) * Any gaps could be filled with a cake sale and ice poles sales in the summer months but we agreed that we now have enough events to manage within the current PTFA group, but we are open to ideas and can review these plans in January if new volunteers come forward.

* A quiz night to be held before April as a social for parents and carers (Paula). * Julie is willing to continue as Acting Chair and Claire Cordell is happy to continue as Treasurer.

*Miss Lodge will use the car park money raised for kit for the netball team

* All events are publicised on Facebook, by newsletter and text. The PTFA Facebook page is getting a lot of engagement. In response to a comment on the page we could hold quarterly evening meetings for those who can’t make the daytime? We will also publish PTFA minutes on the school website and PTFA page so that it is more accessible as we want to be as inclusive as possible (Sarah A and Alex).
